Mastering Outlook Express

This article is by no means the complete works of mastering Outlook Express. However, these few hints and tips will help you in managing this email program.

(1) Disable Preview Pane

One of the criticisms of Outlook Express is that its default view is set to Preview Pane. This is not considered safe because if a virus is attached to an email, it will automatically be opened with the opened email showing in Preview.

To disable Preview Pane, go to

View
Layout
Uncheck Show Preview Pane

(2) Set up Folders for your email. Say for example you want to put all the Industry Update newsletters into a separate folder.

Highlight the Industry Update email Right click and select Move to Folder A box will come up:
Click on New Folder
Type in name for the New Folder
Then click OK and OK again

Play around with this so that the folders and your email program suits you.

(3) Show the Outlook Bar and Folders List

Showing the Outlook Bar to the left of your emails allows for easy access to often used folders. Go to:

View
Layout
Check Outlook Bar

While there, ensure that Folder List is checked as well. This is helpful if, like me, you have created many folders and folders within folders. Again, this ensures that everything is within easy reach.

(4) Move selected folders onto the Outlook Bar

Simply highlight the folder and drag it onto the Outlook Bar.

If you change your mind, simply right click on the folder and select Remove from Outlook Bar.

If you want to change the positions of various folders on the Outlook Bar, simply select and drag the folder up or down the list.

(5) Maximize the email program.

With all the folders and Outlook Bar, you will get best use of your email program if you maximize it.

You do this the same way you do with Internet Explorer or Netscape. Go to

Top right hand corner Click on the middle box - the one that says either Minimize or Maximize when the cursor is placed over it.

(6) Empty Deleted Items folder regularly

You can do this manually by going to:

Deleted Items Folder Right Click:
Select Empty 'Deleted Items' Folder

Of course you want to make sure you really do want to delete the email before you do this.

You can set up Outlook Express to empty the Deleted Items folder each time the program is closed. Go to:

Tools
Options
Maintenance
Check Empty messages from the 'Deleted Items' folder on exit.

(7) Configure the program to work the way you want it to.

Go to:

Tools
Options
Click on each and every tab
Check or uncheck options as you choose

Send yourself an email if need be to test out any changes.

(8) Save space, compress the folders

Some people have found out the hard way that their email program freezes, runs out of memory, or simply dies if there are too many emails. I'm talking thousands of emails.

On the weekend I reached this level, mainly because I had been forgetting to empty the Deleted Items folder, but also because of an online networking event where there was an amazing increase in the number of emails I receive.

And the program started playing up.

I did a couple of things - and I believe I pretty well near saved the email program from dying on me -

I turned off incoming messages while I did the following -
* Emptied the 'Deleted Items' folder of its thousands of
email messages
* Compressed the folders to save space (as I want to save a
great many messages as well)

To Compress to save space, go to:

File
Folder
Select Compact All Folders

Don't use the email program while it is compressing the folders - should only take a minute, depending on how many emails you have stored.

There are so many more hints and tips - like backing up your email, setting filters and redirecting email to select folders automatically, ensuring you have the latest safety patches from Windows, adding more email addresses, and so on.
